From Frustration to Innovation: The Birth of Scrumify
My journey with Scrum started like many others: a course, a book, and a lot of excitement about applying Agile methodologies to my work. But when I tried to translate these principles into practice, I hit a wall. The tools available didn't align with what I had learned, leaving me frustrated.
I explored various apps, including JIRA, hoping to find a seamless way to manage my workflow. But the terminology and workflows felt disjointed. Terms like PBIs (Product Backlog Items) or SBIs (Sprint Backlog Items) were missing. The flow from product backlog to sprint planning and then to the Scrum board was anything but intuitive.
Debates within our team became more frequent as we tried to follow Scrum. Like many teams, we each came from different backgrounds, with varied approaches to project management—some using different Scrum implementations, others following completely different methods, or none at all. It doesn’t take long to read that Scrum encourages you to adapt the framework to what works best for your team. However, this can be a double-edged sword. This advice often serves as an excuse for introducing anti-Scrum patterns, such as micromanagement or quick fixes that cover up real issues. For example, a product owner assigning tasks directly because the team isn’t trusted to self-manage is a sign of deeper problems. If trust is lacking, Scrum may not be the right methodology to begin with, as trust is a fundamental requirement.
While Scrum teams need flexibility and freedom in certain areas, they also require discipline and clear boundaries to adhere to Scrum’s core principles. Unfortunately, many tools out there allow anti-patterns to creep in. At Scrumify, we’re taking a stand against that. Instead of offering features that mask issues, we help teams address the real problems. If your team struggles with self-management, the right question isn’t “How do we work around it?” but rather “Why is this happening?” We understand that deadlines are tight, but investing in your team’s health will pay dividends over time.
Out of this frustration, Scrumify was born. I envisioned a tool that would truly embody the principles of Scrum, with a workflow that mirrored the process as I had learned it. We organized Scrumify into tabs, each representing a phase in the Scrum process. The product backlog, sprint planning, and Scrum board each have their own dedicated space, optimized for each Scrum pattern.
This structure made it easy to follow the natural progression of Scrum. You start with refining your product backlog, move on to planning your sprint, and then execute your tasks on the Scrum board. Early testing is showing positive signs of this implementation. It also provides restrictions aligned with Scrum fundamentals, designed to expose these underlying issues and guide you toward solutions. By sticking to core Scrum patterns, we help teams implement Scrum effectively and create healthier, more efficient workflows.
In Scrumify, each PBI comes with its own Kanban board. And we injected the time tracking functionality into it, right next to the SBIs. Instead of juggling multiple timers for each sub-task, you clock in and out on the PBI level. This approach not only simplifies time tracking but also aligns with Scrum's dynamic nature. As tasks evolve, you can adjust without the hassle of micromanaging every minute and its relation to volatile SBIs that might not exist the next day.
As we continue to refine Scrumify, we're excited to introduce innovative features, like a new method for estimations. We're moving away from story points, favoring a probabilistic approach using Monte Carlo simulations. By analyzing team throughput (how many items are done per day) and cycle time (the time it takes PBIs to go from started to done), Scrumify can forecast how long it will probably take your team to complete future PBIs. You can decide within your context if you want to communicate 50/50 timelines or if you want to be 80%+ confident in the timelines you communicate to your stakeholders. It will only take your team completing 5 PBIs before Scrumify is able to auto-generate time estimates for you.
This journey from confusion to clarity has shaped Scrumify into more than just an app; it's a tool built from real-world struggles and triumphs. We've crafted a platform that doesn't just accommodate Scrum principles but enhances them, making the process more intuitive and streamlined. It's not perfect; we will need early adopters (potentially such as yourself if you managed to make it this far, thanks) to validate, scrap, introduce, and improve ideas.
